Were looking for an experienced executive assistant to support our SVP of Communications and our growing communication team. Your primary role will be to help things run as smoothly as possible while also making sure your boss is fully briefed for whatever is happening next on her calendar. You need to be someone who thinks for themselves and doesnt wait to be asked. You are a strategic thinker who can manage an executives requirements with tact and ease.
In essence, you need to know what makes an excellent executive assistant and put that into practice at all times.
The role will be based in New York but this is a global company and our executives travel a lot. We also have team members in London and Hong Kong. So while your working hours will be US-based, you will need to be flexible and available across time zones.
The job will include all the usual executive assistant activities, including:
* Managing the calendar and inbox, maximizing her time.
* Ensuring that proper preparation and materials are available for each day's meetings and events.
* Arranging tech support including for corporate all-hands meetings..
* Maintaining confidential files, including competitive and strategic planning information.
* Screening incoming telephone, mail and email.
* Reviewing and prioritizing incoming correspondence and drafting or sending responses as necessary.
* Preparing and filing travel expenses.
* Managing relationships with vendors, tracking expenses and ensuring departmental bills are being paid
You will also be expected to support the communication team: coordinating team meetings, tracking deliverables and planning events. You will also provide diary and travel support to the incoming Head of Employee Communications as needed.
Youll need:
* Five or more years experience as an administrative assistant, supporting senior management and at least two years working at an executive level
* Knowledgeable about how large corporations work
* Excellent writing skills
* Expert at using the typical office software including documents, slides and spreadsheets.
* Ideally, youll be an experienced user of Google Suite and experience with Slack would be a bonus.
