You Will Be Responsible For:

* Promotes the philosophy, mission and vision of Florida Hospital and Adventist Health system to employees, patients, and other contacts outside the facility.
* Provides for a safe and complete environment for the delivery of patient care through operational processes and protocols, practice rounds, inventory control, and equipment checks. Corrects any known deficiencies.
* Maintains effective relationship and open communication with patients, families, management, staff, contractors insurance companies and the outside community.
* Manages all staff within the assigned practices. Acts as a liaison between support staff and physicians.
* Motivates staff and organizes day-to-day activity of department. Ensures scheduling of staff to promote provider productivity as well as to promote high clinical quality, high service quality, operational and financial viability, and to ensure appropriate patient access to practice
* Exercises a high degree of initiative, judgment, discretion and decision-making to achieve organization objectives.
* Coordinate/assist in specific functions and activities of assigned practices including IT, accounting, HR, payroll, materials management, engineering and other support services.
* Holds staff meetings at least once per month to keep employees informed of developments.
* Works with Providers and staff to ensure schedules are maximized for efficiencies and physician productivity on a daily basis
* Works with the Manager of Revenue Cycle Management to ensure practice reimbursement for his/her respective practice is appropriate.
* Manages the point-of-service collection function in the practice and meets thresholds set by management.
* Ensures that all charges are captured and entered within the timelines established by management.
* Ensures that all tasks are addressed and worked based upon the turn-around guidelines established by management including but not limited to those associated with the revenue cycle and the EHR.
* Responsible for recruitment, selection, orientation, evaluation of staff and dismissal, with the exception of employed physicians. Works with Director of Operations and Shared Services on the corrective action process and dismissal of staff.
* Hires new staff and ensures effective orientation is received by new employees.
* Supports and participates in marketing initiatives for practices within his/her responsibility, in collaboration with marketing departments and the management team.
* Assists with annual budget process for assigned practices, as appropriate.
* Reviews monthly financial performance for assigned practices and makes recommendations for improvements to their respective Director and physicians/providers.
* Keeps abreast of changes within the organization and implements procedures, policies and practices as needed in assigned practices.
* Assures medical records are maintained with respect to patient confidentiality, security, completeness and timeliness. Assures practices follow HIPAA and security regulations.
* Evaluates and recommends facility utilization and improvement, including construction and renovation to the Director of Operations.
* Assures staff is scheduled to provide adequate coverage during all hours of operation using flexible staffing when appropriate.
* Ensures accurate time and attendance records are kept and reported in a timely manner.
* Uses progressive coaching and counseling to develop or discipline employees as necessary.
* Conducts monthly meetings with physician to discuss clinic operations, financial performance, needs, etc.
* Researches and prepares reports, presentations as needed.
* Demonstrates a positive customer service attitude/behavior. Reacts in a timely manner to resolve patient complaints and/or employee conflict, promoting customer service. Maintains open communication with hospital departments, referring physicians, and staff physicians. Participates in and fosters an approach to continuously improving quality that includes both intra-departmental and inter-departmental activities.
* Supports employee engagement and is accountable for Press Ganey survey results and action plans for improvement.
* Maintain the follow physician and practice licensures and ensure they are current; submit copies to Compliance Coordinator and Credentialing Specialist they will maintain physical files and place them on the S Drive.

* Approve and track all PDO time; submit to payroll for all employees and Providers
* Track Provider spending and PLD time against contracted amounts for CME & Licenses/Dues per Provider
* Assist Providers in submitting medical flex spending reports for reimbursement
* Submit New Employee Hire/Term Employee forms to HR

Qualifications
What You Will Need:

* * Bachelors Degree in health, business administration, other relevant field or equivalent experience.
* 5-7 years experience in medical group practice environment.
* Proficient experience in compliant coding guidelines, reimbursement procedures, medical records management, and effective practice operations.
* Practical knowledge and experience in working with practice management software systems with the ability to direct workflow in order to optimize operations.
* Experience working with Electronic Health Records (EHR) systems.
* Experience with budgetary finance and accounting skills with regards to practice management and operations.

Job Summary:

The Practice Administrator is responsible for the overall operational success of assigned medical practices. A Practice Administrator has responsibility for at least two practice locations with four or more providers. Works to create an environment of efficient practice operations in cooperation with the appropriate support systems to provide timely and accurate information as needed.
