Position summary:
Are you ready to join an exciting team? We are looking for a highly energetic individual to join our HR Shared Services team. Our goal is to streamline and improve the efficiency and effectiveness of each HR process and make it easy for associates, HR Business Partners and the Business.
The HR Services Program Manager will lead initiatives that are focused on HR Shared Services processes and programs. Additionally, this role will also lead multifunctional teams and work with all levels of the organization and is responsible for ensuring projects are completed on time and have a direct impact on associate and HR operations efficiency.
Primary responsibilities:
Program Management:
* Responsible for managing various HR Shared Services programs and initiatives including providing business support and process expertise for benefits administration, unemployment administration, records management activities including but not limited to the Records Retention process, the subpoena process, legal requests, employment verifications and unemployment processing and any other initiatives or bodies of work incorporated into HR Shared Services.
* Through analytics and observation, provide insights into call center metrics and support HR Services in coaching associates on best practices in a call center environment.
* Function as content owner and knowledge architect for HR Operations ensuring we have robust self-service content for the business and associates.
* Work closely with ServiceNow team to develop optimal processes for associates and the business.
* Function as primary contact and liaison for all mergers and acquisitions representing HR Services on core project team and providing support and direction to the primary HR Manager or Director at the acquired company.
* Primary resource to proactively coordinate SWAT activity for system or process issues and new program roll-outs. Coordinates with Sr Mgr HR Systems and Director of Shared Services and other second level groups to solve critical business issues.
* Manage program communications, deadlines, project plans, quality measurements related to projects.
* Manage multiple projects at once, working with stakeholders at all levels.
* Contribute to the development of communications and training programs for HR Services.
* Work closely with all second level teams such as time and attendance, GHRT, benefits, compensation, talent management and payroll to ensure training and communication needs are met for the team.
* Work with other departments in the implementing and roll out of new HR Services programs/procedures or programs that impact HR Services.
Process Improvement/Problem Resolution:
* Responsible for leading multifunctional project teams using a structured methodology and ensuring the results achieved support the Business requirement and the improvements are sustained over time
* Identify opportunities to streamline, consolidate, eliminate or enhance processes related to Shared Services and how we support our associates and HR Business Partners
* Analyze and interpret data along with providing insights to drive meaningful results
* Encourage new ways of looking at problems, processes, or solutions
* Requires the ability to identify the root cause of problems (vs. symptoms) and drive towards a solution despite ambiguity or uncertainty
Business Partner:
* Build relationships across the organization, engaging often to understand the current business environment and influence without authority
* Requires a strong focus on the customer to ensure business needs are being met
* Work with internal and external customers and suppliers/third parties as projects required
* Foster a sense of urgency in others for achieving goals and convey clear expectations for assignments and hold people accountable for achieving their goals
* Partner and build relationships across organization to ensure improvement efforts are communicated and adopted
* Energize others by clarifying the broader purpose of their contribution to Staples
Qualifications
Required Qualifications:
* Bachelor Degree or minimum 4-6 years of Business related experience
Preferred Competencies:
* Maintain a consistent, high level of productivity.
* Effectively and efficiently handle multiple and competing priorities.
* Process Excellence, Lean Six Sigma a plus
* Expert knowledge of HR Shared Services operations including benefits administration, unemployment administration, records management and call center management
* Project management experience a plus
* Strong problem-solving skills, with the ability to identify root causes and drive towards a solution despite ambiguity or uncertainty
* Excellent Analytical skills, with the ability recognize key interrelationships and patterns among data to help drive to the right conclusion. Ability to analyze qualitatively and quantitatively required
* Excellent verbal and written communication skills, including strong presentation skills
* Proven ability to influence and build relationships with all levels of the organization
* Strong organizational skills, with the ability to work independently and manage multiple projects within tight time constraints
