Job Summary
At Houston Methodist, the Data Entry Specialist is responsible for abstracting data elements from the medical record, hospital and other database systems; entering clinical and operational data into the departments database systems, making edits as required; assisting with data integrity checks; and generating, copying and distributing reports as directed by management. The Data Entry Specialist will also collect data for grant projects, clinical studies, process/quality improvement projects, registries, inventories and investigator initiated studies as needed. This position will also assist with detecting deficiencies in the medical record or information systems so quality of care and patient safety issues are collected and shared with responsible team members.

1. Performs data entry of clinical and/or operational information from the electronic medical record, worksheets, or other data collection and reporting tools. Accurately enters all data into applicable databases ensuring timeliness and prevention of backlog. (EF)
2. Performs all associated tasks with data entry including scanning, copying, sorting, proofing, editing, mailing, faxing and general distribution. Initiates contacts with customers, both internal and external, or service providers to follow up and ensure task completion. (EF)
3. Maintains and organizes storage files associated with data management activities and runs data analyses and reports as directed. Ensures coordination of files (electronic and paper) and meets deadline demands for organizational needs and external reporting requirements. (EF)
QUALITY/SAFETY - 35%
1. Supports department with data abstraction for regulatory/accreditation requirements and/or performance/process improvement projects. (EF)
2. Identifies data source and assesses data to determine appropriateness for inclusion in the database. (EF)
3. Reviews and validates accuracy and completeness of abstracted data on an established and agreed upon schedule and prior to submission; adheres to established department internal and external validation process to ensure quality, accuracy, and integrity of data. (EF)
FINANCE - 10%
1. Manages department resources and assignment effectively and efficiently as evidenced by prudent use of office supplies, timely data abstraction, data entry, and data submission. (EF)
2. Adjusts work schedule to accommodate departmental/organizational needs. Appropriately utilizes the time recording system. (EF)
GROWTH/INNOVATION - 5%
1. Identifies and assumes responsibility of own learning needs, consults with healthcare team experts and seeks continuing education opportunities to meet those needs. Ensures own career discussions occur with appropriate management. (EF)

EDUCATION REQUIREMENTS
o High School diploma or equivalent education (examples include: GED, verification of homeschool equivalency, partial or full completion of post-secondary education, etc.)
EXPERIENCE REQUIREMENTS
o One year of clerical experience including data entry
CERTIFICATIONS, LICENSES AND REGISTRATIONS REQUIRED

o American Heart Association BLS (Basic Life Support) certification preferred for clinical areas
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
o Demonstrates the skills and competencies necessary to safely perform the assigned job, determined through on-going skills, competency assessments, and performance evaluations
o Sufficient proficiency in speaking, reading, and writing the English language necessary to perform the essential functions of this job, especially with regard to activities impacting patient or employee safety or security
o Ability to effectively communicate with patients, physicians, family members and co-workers in a manner consistent with a customer service focus and application of positive language principles
o Basic computer skills as related to database and other software applications relevant to data management
