Summary: The Office Administrative Manager will be responsible for training and supporting the Sales Support staff within the assigned office. The Office Administrative Manager plays a critical role in building the culture for their offices while supporting the greater company initiatives. This position plays a key role in driving the success of our key principle of helping our agents live exceptional lives

Supervision: Works under general supervision of the Branch Manager.

Essential Job Duties:
Managing Staff: Responsible for the general management, scheduling and development of Branch Office Staff for assigned office. This includes but is not limited to:

* Recruiting, interviewing, hiring for all support staff positions

* New staff orientation/training

* Ongoing training and development

* Preparing staff schedules; managing vacation requests; reviewing and approving time cards

* Providing coverage for vacation, sick days and leaves of absences on an as needed basis.

* Mid-year and Annual performance reviews

Building the culture: Responsible for communicating and training all staff within given region while driving consistency in support and promoting the companys principle of helping our agents live an exceptional life. Includes but not limited to:

* Facilitate communication to entire team within Territory including Managers and Senior Leadership

* Coordinate regular team meetings (daily/weekly/monthly/quarterly)

* Coordinate territory events or larger meetings

* Participate in branch office meetings

* Liaison with Branch Managers

* Regular office visits

Company Initiatives: Coordinate with local leadership and functional partners to align on upcoming company changes in tools, support, offering, etc. Act as a central point of contact for your region to train on new tools, escalate issues and provide feedback to leadership. Includes but limited to:

* Arrange trainings (partnering with applicable functional support) on all new to company agent tools.

* Communicate down the line of changes to tools, added offerings, changes to process, etc.

* Escalate issues as needed to applicable departments

Backup Support: Provide backup support for the offices as needed for time off or business levels. Includes but not limited to:

* Agent Onboarding: Coordinate the onboarding support for newly affiliated sales associates to ensure they are set up on and understand Company systems. Provide support and guidance for all sales associates regarding usage of company systems.

* Marketing Tools: Provide basic support/training on all company tools and marketing tools available to agents;

* Administrative Support: Provide backup support for a variety of administrative functions within the office.

* Branch Manager support: Provide administrative or organizational support to the Branch Manager as requested.

* Agent Support: Provide excellent customer service to our independently affiliate sales agents by being a first point of contact for questions, basic marketing tools support, and connecting agents directly with applicable department contacts to support their specific needs.

Qualifications:

* 4 or more years customer service experience required; Prior Real Estate strongly preferred.
* Active real estate license required.
* Experience managing a team or group of employees strongly preferred

* Technologically proficient in all areas including but not limited to: familiarity with various operating systems on PCs and Macs and ability to navigate computer software

* Ability to learn new software programs on an as needed basis, skillful in using the following programs including, but not limited to: Microsoft office programs such as Outlook, Word, Excel, PowerPoint, and Publisher (including utilizing templates and mail merge), and Adobe programs such as Adobe Acrobat

* Proficient and skilled in social media applications including Facebook, LinkedIn, Twitter, Instagram, company web pages, MLS

* Ability to communicate with different audiences to convey message successfully and to change gear quickly to support different customers

* Ability to multi-task, prioritize and be flexible with changing business needs in a team environment as well as manage deadlines and time constraints.

* Customer focused, delivery oriented, good team member, values honesty and integrity

* Creative problem-solving skills.

* Strong customer service skills with excellent communication skills, both verbal and written.

Position Type and Expected Hours of Work:

* Travel to other offices is required on a weekly basis and requires reliable transportation.

* Scheduled hours are based on business need.

Work Environment:

* This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
