Our Oregon Marketing team has an opening for an Administrative Assistant. Reporting to the Oregon Marketing Manager, this position is based in Springfield, OR and provides support to the Oregon Marketing team. This is a full time, non-exempt position, with salary dependent on skills and experience.

Key Functions:

* Build and maintain effective working relationships and communications with Oregon Marketing team members, Springfield operations personnel, suppliers, vendors, and contractors.
* Exercise initiative and work with minimal supervision to provide professional administrative support with a focus on accuracy, prioritization and meeting deadlines while maintaining timely core work.
* Work effectively in a team environment to achieve business goals/objectives most efficiently.
* Promote and demonstrate safe work practices.

Core work includes:

* Prepare and manage log purchase and stumpage agreements including customer service communications.
* Report export inventories and process invoices for volumes delivered to the export system.
* Primary person responsible to process incident reports and maintain contractor and vendors files. Responsible for invoice processing which requires expertise with general accounting procedures while utilizing Weyerhaeuser systems.
* Responsible for tracking and assisting the Oregon Marketing manager with the safety programs by ensuring required audits, inspections and training are completed.
* Assisting with general office-related needs (e.g., computer issues, ordering supplies - to include remote scaling locations, etc.).
* Scheduling and meeting preparation.
* Providing back-up support during special projects or other duties as assigned.



Qualifications

* Minimum three years' experience in professional administrative support with high volume workload.
* Must be proficient in use of Microsoft Office products, e.g., Outlook, Excel, Word, and PowerPoint.
* Proficiency with programs such as SAP, Concur, LIMS/CAPS, and MDG is a plus.
* Ability to work with frequent interruptions while maintaining a high degree of accuracy, initiative, sound judgement, and common sense.
* Ability to shift priorities and manage deadlines effectively, completing a variety of work in a timely fashion to meet changing/evolving business needs.
* Motivated self-starter with the ability to plan, organize and prioritize their tasks while working independently.
* Excellent verbal, written and listening skills, as well as strong grammar, spelling and proofreading skills.
* Maintain positive attitude with willingness and desire to be creative, expand knowledge, flow to work, and build upon skills/competencies.
* Must also be flexible and able to provide multi-faceted support to professionals with varied styles and schedules.
* Minimum education level is high school diploma or GED.
