KEY ROLE AND RESPONSIBILITIES

Reports to the Director, Integrated systems

Support a Project Team consisting of Project and Program Managers

Project administration support on all Projects and Programs

Develop, prepare and maintain project reports (including gathering information and data) for project reporting including forecasting, change order management, open issues management, scheduling, engineering and internal / external manufacturing

Supply Chain external coordination including interface with vendors and contractors

Supply Chain internal coordination with IGS manufacturing sites. This requires frequent coordination with partners at all IGS manufacturing locations and external sources, coordinating and participating in status meetings, plant visits as required, follow up with each manufacturing site, project manufacturing status report preparation

Set up and manage onsite installation inventory at project sites

Based upon findings gathered during report preparation, provide timely internal alerts to the project teams to enable early issue detection and corrective action.

Serves as Project Management Business Process Owner which includes creating and maintaining business procedures and may include flow and/or RASIC charts, obtaining cross functional approval for all Project Management business processes as necessary and organizing/providing training for all standard work, and working with IT to manage and support the Forecasting system and serves as the SME for that system

Trains and assists in on-boarding new IS Project Managers with regards to processes and procedures

Tracks the status of project schedules

Manages and books change orders for all projects

Assists Project Managers in tracking the timely arrival of equipment and parts orders for all projects

Assists the Project Manager by periodically serving as an alternate point of contact for the customer when the Project Manager is unavailable

Assists with project close-out activities which includes turnover to the Customer Service Technical Reviews

Performs department level administrative functions such as setting up and facilitating meetings and training sessions and preparing reports and presentations; provides support in other project related tasks as needed

Ensure all project documentation is up-to-date including drawings, schedules, and commissioning plans

Assists the department in the continuous improvement process

May be required to perform other duties as requested, directed or assigned

YOU MUST HAVE

Bachelors degree in Engineering, Supply Chain, Business, Finance, or relevant discipline

WE VALUE

Engineering and/or project coordination experience

Supply Chain experience

Manufacturing (including metal forming, assembly, electrical panels and wiring) knowledge / experience

Ability to work in a multi-disciplinary environment

Ability to anticipate, size, and mitigate risk

Oracle Enterprise Management knowledge / experience

Knowledge of principles and processes for providing solid customer service; this includes meeting quality standards for installation, and evaluation of customer satisfaction

Ability to initiative to take on responsibilities and challenges

Ability to think analytically; uses judgment and decision making; requires analyzing information and using logic to address work-related problems; considers the relative costs and benefits of potential actions to choose the most appropriate one

Ability to identify metrics or indicators of project management performance relative to the project plane

Ability to initiative to take on responsibilities and challenges

Excellent written, verbal communication, and facilitation skills

Advanced MS Office (Visio, Project, Excel, Word, Teams, One Note, SharePoint)
