Providence Health
Effectively meets the direct support needs to the Market CEO and Assistant Administrator. Provides indirect support to the C-Suite and all other Sr. Leadership as needed.
Serves as an liaison between the CEO, physicians, department directors and other employees, communicating regularly.
Assists CEO to identify and maintain internal and external constituent relationships with a sound understanding of their background and relevance to leadership team
Assists the CEO with procedures, contracts, project development and research assistance.
Maintains appointments and calendar for the CEO and Assistant Administrator, handles incoming mail and requests in an appropriate manner. Will support all O Leadership and Sr. Leadership as needed.
Handles all administrative/executive information in a professional and highly confidential manner. Follows up on details as requested and deemed appropriate
Responsible for reconciling Kronos payroll reports every other Monday with the approval of Market CEO, Assistant Administrator and Market CFO. Maintains and tracks all PTO/absence/tardy status for their direct reports.
Process and reconcile professional development and travel request for Market CEO, Market COO, Market CFO and Assistant Administrator.
Maintains practice documents, by-laws, strategic plans and any regulatory or corporate compliance documentation.

Develops, maintains spreadsheets, graphs, presentations and correspondence, skillfully and efficiently
Prepare and process all accounts payable check request and reimbursements for Administration and O Leadership.
Attends governance meetings as directed by CEO to record and transcribe meeting minutes as requested. Preparation of meetings to include agendas, room reservations, luncheon arrangements and tracking action items for the following meetings:
a. Weekly Sr. Leadership Meeting
b. Monthly Executive Committee of the Board and Leadership Meetings.
c. Bi-Monthly Board of Trustees Meeting
d. Yearly Annual Board of Trustees Retreat
Coordinate all Sr. Leadership candidate interviews with the HR recruiters and new-hire orientation schedules.
Serves as back-up Administrative Assistant for Command Center during TJC/DHEC surveys, onsite visits and hospital St. Coordinates social events/functions and retreats as requested. Assist Marketing and Human Resources with the coordination of numerous activities for certain hospital related events and ceremonies.

Daily responsibility for scheduling of conference rooms and classrooms for downtown and northeast campus personnel as needed
Job Requirements
Minimum Education
High school education required. A two year degree in secretarial science is preferred.
Minimum Work Experience
A minimum of five years executive secretarial experience required. Health care background preferred. High level of computer skills in PowerPoint, Word and Excel.
