Job Description

The primary purpose of the Senior Administrative Assistant position is to perform complex administrative duties requiring independent judgment, critical and analytical thinking within general guidelines, including support for basic PRS bookkeeping and reporting. Provides timely submission of required reports and documents. Develops and determines priorities and monitors status of special projects.

KEY FUNCTIONS

Administrative Operations:
* Provide administrative support to the Section of Rheumatology and Clinical Immunology faculty; to include the Section Chief.
* Performs clerical and administrative functions for assigned faculty and department administrator as necessary. Compiles reports and composes correspondence.
* Manage and maintain assigned faculty calendars while appropriately communicating with faculty of any date and time conflicts, confirmation of completed requests, and meeting reminders.
* Maintains and prepares physician licenses and certification(s) renewals, and membership dues.
* Manage and update curriculum vitae monthly in the Faculty Information System (FIS).
* Arrange conference registration and travel preparations via the Concur system. Ensures all expenditures are processed according to institutional guidelines and expenses are reimbursed accordingly.
* Reconciles faculty PRS Logs spreadsheet.
* Initiates and processes purchase orders for departmental office supplies and goods via Resource One. Resolves any discrepancies with vendor and internal departments.
* Maintain inventory for the Department of General Internal Medicine.

Timekeeping and Payroll Processing:
* Serve as back-up Kronos Dimensions Timekeeper for the department and submit Kronos corrections as needed.
* Assist with the compilation of time and attendance reports, monitoring and maintenance of departmental FMLA cases, and moonlighting audit.

Reports:
* Assist with Open Tempo database and report reconciliation for the Section of Rheumatology Medicine and Department administration leadership.
* Responsible for maintaining Web On-Call for Rheumatology/Clinical Immunology Medicine Section.
* Prepares reports and assists with special projects as assigned by the administrative leadership within the department.

EDUCATION:
Required: High school diploma or equivalent.
Preferred: Bachelor's degree.

EXPERIENCE:
Required: Five years of administrative/secretarial experience. With preferred degree, one year of required experience.

OTHER:
Required: Must pass pre-employment skills test as required and administered by Human Resources.
