Position Summary
The Executive Office Manager will be based in the PCC Metals executive office location in Warrensville Heights, OH. Reporting directly to the VP of Finance, the Executive Office Manager will manage multiple high level tasks including general office duties, executive global travel arrangements, expense reports, and event planning. In addition, the Executive Office Manager will ensure that the office has adequate supplies to complete day to day business. He/She will also coordinate all responsibilities by professionally and efficiently directing visitors, vendors and incoming telephone calls.
Primary Duties & Responsibilities
Assistant to President, Vice President of Finance, and Vice President Human Resources.
Maintain calendars for executive officers.
Process expense reports for executives.
Coordinate domestic and international travel, including use of corporate jet.
Program administrator for Special Metals Travel & Expense and Purchasing bank card programs.
Process new card applications, process changes, transfer intercompany, and terminate.
Train new program administrators for SMC locations.
Reconcile monthly statements; CTS, Diversion, PCard (Purchasing card).
Track pastdue accounts for Accounting/HR.
Perform quarterly Critical Control Testing (SarbanesOxley).
Process invoices and audit/process expense reports for Division office personnel.
Maintain Special Metals Master Organizational Chart; work with HR managers to update and incorporate changes from eight locations (approximately 1K employees) on a quarterly basis.
Maintain division chart (Visio) for corporate office for quarterly cabinet meetings.
Manage and organize onsite and offsite meetings and events (MORs, FQRs, conferences).
Screen arrivals (Covid protocol).
Schedule multiple conference rooms.
Arrange IT support for highlevel meetings.
Catering, as needed.
Review and process PRPs (a company specific performance evaluation program) used for annual reviews, new hires, promotions and terminations for accuracy and adherence to policies.
Assist in onboarding of new employees at the division office. This includes both preand post offer activities Candidate travel, facilitate setting up office space and equipment, assist with acquisition of corporate travel and/or Pcard, travel profile/agency information.
Master Administrator of Division Office security system at two locations; issue fobs, control timing for security, perform monthly testing for the alarm system.
Site Administrator for 6S.
Work with IT department for conference room and digital display maintenance and upgrades.
Liaison with landlord for all issues, including cleaning and building maintenance issues.
Leaseholder for 2 pool cars responsible for maintenance, booking schedule (employee use).
Division Administrator for Wheels/MAP (automobile lease program).
Maintain inventory for office, breakroom and janitorial supplies.
Be able to meet strict deadlines while working with limited supervision.
Document system processes and assist in user training.
Travel as required locally and domestically.
Experience & Education
Business related degree preferred.
57 years managing an executive office.
Required Skills
Experience within a multisite manufacturing environment preferred
Expert working knowledge of all MS Office applications and internet applications.
High level of selfmotivation to perform and succeed
Ability to work under minimal supervision and use own initiative
Strong interpersonal and communication skills
