Job Description

The Administrative Assistant (AA) resource would work as a compartmented program control officer, processing entitlement requests through an OGA system, OGA subcompartment accesses, and clearances. This is a customer facing position and resource will be expected to interact with personnel ranging from senior SIS officers to junior officers. Resource must be able to learn to recognize VIP-related titles and follow team protocols for VIP handling. This is a fast-paced, high-volume team. This is a sitting position involving all day computer usage.
Day to Day: The AA has limited autonomy and will have work assigned to him/her in a Sponsor System. The AA is not making decisions on who is granted laccess/clearance, they are completing forms/systems/paperwork so that OGA's can grant/decide access/clearance.
Additional Duties: The AA will be asked to provide feedback to government leads on the team application, Sponsor Systems, or successor tools. The Resource will also be expected to periodically contribute comments or suggested changes to team Standard Operating Procedures based on their own experience. Must be willing to cross-train across request types and to serve as a back up with other control officers are out of the office.
Hours: No earlier than 0700 and no later than 1700, 8 hours, 5 days a week, M-F.
Travel to other buildings is not anticipated, but may be required at times.
Must be proficient using email communication, have experience utilizing web-based applications and Microsoft Excel. Must have an ability to self-manage assigned work, switch back and forth between email, databases and other tools, and successfully recognize and use the appropriate protocol and operating procedures for routine, high priority or VIP requests for all request types.
Must have strong attention to detail, basic critical thinking skills, good judgment, solid customer service skills and the ability to communicate information clearly, correctly and politely via phone and email. Must be willing and able when necessary to tactfully and effectively engage requesters' who have provided insufficient information and be able to remember and employ team guidelines about the types of requests and situations to escalate to government manager. Must be able to recognize when a situation is in a grey area that does not conform to existing guidance and engage with management or senior control officers as appropriate.
Must have suitable discretion, be willing and able to employ a security/Cl mindset when evaluating requests for anomalies/appropriateness prior to sending to OGA partners and demonstrate an ability and willingness to follow security, counterintelligence, and privacy practices.
