Department Overview

The Enterprise Records and Information Management (ERIM) organization is an enterprise-wide program advancing the records and information management program maturity of the lines of business (LOB) through implementation of compliant, efficient, and systematic controls for the creation, receipt, maintenance, use, and disposition of records.

ERIM is responsible for transforming PG&E's records and information asset management practices to ensure compliance with laws, regulations, and promote safe and effective business operations. ERIM is responsible for policy, strategy and guidance for records and information assets, monitoring compliance and supporting the development of consistent and integrated processes that promote the responsible management of the information lifecycle to further PG&E's immediate and future regulatory, legal and operational requirements.

Position Summary

The Electronic Content & Disposition (ECD) Manager position is responsible for managing a team with electronic records and information expertise and skills to support records and information practices related to PG&E's electronic content repositories. Additionally, the ECD team is responsible for managing disposition at the end of the records and information lifecycle. The Manager is expected to improve the integrity and consistency of support for this work and ensure sustainable operations moving forward.

ECD team's focus areas include, but are not limited to:

* Service and support of electronic information and records, project & non-project
* Align with ERIM teams, book of work, and strategic plan
* Develop consistent processes and procedures for supporting electronic information management support requests
* Collaborate with ERIM leadership (Managers, Supervisors, etc.) to develop and train records analysts on processes and procedures regarding general support (records classification, general SharePoint support, etc.)
* Project alignment & support:
* SharePoint
* Shared Drives
* Structured Systems, etc.
* Develop strategies to define new operating models and align to projects when applicable
* LOB alignment and support:
* Records management support for electronic information management
* Process mapping
* Process improvements
* Disposition Program Management
* Supports ERIM tool administration (where applicable):
* SharePoint
* PowerBI
* Content Management System

Job Responsibilities

* Manages a staff and the day to day operations for the tactical implementation of corporate RIM policies within the Lines of Business (LOBs), regions, and at PG&E sites and ensures the integrity, availability, security, and governance of PG&E's records and information.
* Interprets corporate wide policies and establishes project implementation plans for LOBs, such as methods of identification, location, classification, collection, and retention of LOB electronic records and information.
* Utilizes prior technical expertise to provide direction and share best practices for the proper management and storage of PG&E's electronic records and information.
* Supports the LOBs records and information lifecycle, working closely with the other ERIM departments to align guidance and solutions. Participates in developing LOB RIM practices and processes that are aligned with overall company RIM guidelines, policies and objectives.
* Stays abreast of new systems and technology that will improve RIM processes. May participate in designing systems and tools and/or enhancements to RIM tools.
* Assesses the need for and oversees the delivery of training programs designed to further educate employees on records and information management policies and procedures, particularly those related to the management of electronic content. Utilizes standard RIM training, modifies for specific LOB or initiative and oversees delivery to employees. Training includes RIM policies, practices, process, procedures, system/tool use, etc. Ensures tracking of employee RIM training completion, ensures understanding.
* Oversees ERIM's disposition program of physical and electronic records and information.
* Provides guidance and leadership to LOB leaders regarding RIM policy. Identifies issues and recommends actions/resolutions to gaps and risks in current state.
* Regularly meets with peers and leaders in line of business to report on records management project and compliance metrics. Continually assess needs and develops alternatives and solutions.
* May manage associated budgeting and planning with an eye towards cost efficiency
* Manages staff to accomplish results through effective recruitment and selection, training and development, performance management and coaching, and rewards and recognition.

Qualifications

Minimum

* Bachelor's degree in Business, Finance, Economics, Accounting, Public Policy, Library and Information Systems, Information Technology, Legal Studies, or related discipline or equivalent experience
* 8 years related experience in records management including 3 years managing a team of professionals

Desired

* Master's degree (Business/Finance/Economics, IT, or Library and Information Systems)
* Records Management Degree, J.D., Paralegal Certificate or IT/IS degree
* CRM or other related certifications
* Electric Utility, and/or Construction Company experience
* Experience with large scale design, development and implementation of enterprise records and information management projects
* Involvement in ARMA, AIIM or other related data organization(s)
* Leadership and detailed project & process management skills
