Job Description

Position Summary

This position will be responsible for the establishment, support, enforcement and improvement of critical program documentation and documentation management internally and externally with Special Projects and Programs' Engineer, Procure, Construct (EPC) vendors. Works closely with key Electric Operations departments and key functions including project management, engineering, mapping, QA/QC, and inspection to facilitate document management from initiation to closeout. Will onboard and train new EPC vendors and staff on PG&E and Program documentation expectations and requirements. The position will report to the Project Controls Supervisor of Special Projects and Programs in the greater State Infrastructure Team. The successful candidate must be forward thinking and able to manage and create change effectively.

* Position Schedule: M-F, 40 hours.

Job Responsibilities

* Acts as a subject matter expert in area of field and applies extensive knowledge of concepts, principles, and practices.
* Supports the management of ongoing documentation issues and compliance, ensuring documents are updated in the required timeframe.
* Assists in refining Document Management Plan business processes, facilitating Unifier structure updates, and improving and adjusting workflow streams.
* Helps prepare bulletins, job aids, tailboards, forms, procedures and Guidance Documentation.
* Work with Program Leadership and project team to update PMP and issue PMP bulletins.
* Send internal and external transmittals to project stakeholders on updated PG&E processes, procedures and standards.
* Establishes folder organization and naming convention across systems including but not limited to Unifier and SAP.
* Maintains and manages project documents in Unifier and SAP.
* Reviews and approves Unifier Design and Construction Decision Gates and submittals for required documentation accuracy and package completeness.
* Transfers job estimates to project shells within Unifier and SAP for pre-mapping, pre-construction and construction.
* Conducts closeout audits, assists EPCs in assembling closeout packages and spearheads closeout process and facilitation.
* Assembles and facilitates dispatch of as-built packages to gas and electric mapping.
* Transfers project closeout documents (including As-Builts) to SAP.
* Receives, retains and processes physical records per PG&E company policy.
* Provides training to the current and newly on-boarded team members as needed.
* Maintains and updates program SharePoint site as needed.
* Ability to travel to and schedule time with program EPC vendors to receive and deliver as-built packages.

Qualifications

Minimum:

* Bachelors Degree or equivalent experience
* Three (3) years of related experience
* Technical writing skills, with high level knowledge of proper grammar.
