Position Summary

Processes decoration orders for all SPP sales groups. (Merchandising, Program Inventory, Customer Service, Special Order, Staples Channel Support, Account Development)

Responsibilities:

Impact on Business

* Processes orders that do not transmit cleanly from the Sales ordering system. Processes orders accurately and timely to meet the SPP sales associate and customer expectations for decoration and shipment.

* Manually enters orders into the Manufacturing system that cannot be transmitted from the Sales ordering system.

* Adjusts all orders as needed based on direction from the sales associate as well as internal

* Production, Shipping/Traffic & Logistics departments. Adjustments include, but are not limited to, changes in quantities, products, artwork, shipping information and order priority.

* Processes art requests (add-a-spec, proofs, etc.) as instructed by the sales associate using decoration guidelines established in coordination with the Art and Production teams.

* Coordinates with our internal Art, Scheduling, Production and Shipping/Traffic Departments on time-sensitive orders to ensure customer in-hands dates can be met.

* Orders non-stock blank product from suppliers when product is damaged in our decoration process.

* Maintains all documentation to charge the appropriate department budget for the costs associated with the replacement product.

* Performs weekly follow-up on orders that are on production or shipment hold and orders that have artwork pending, to remind the sales associate of the status of their order on the production system.

* Performs monthly follow-up and clean-up of sales orders on the Manufacturing production system.

* Other duties as assigned

Innovation and Change

* Active involvement in process improvement initiatives as they relate to handling sales orders for our SPP Manufacturing division.

* Involvement includes, but is not limited to, user testing of programming changes and reporting issues or suggesting improvements to programming or processes.

Internal & External Customers / Suppliers as well as Third Parties

* This position will have direct involvement with the internal sales associates and the Traffic and Logistics team. There is also extensive involvement with SPP departments under the Manufacturing division: Art - obtaining correct artwork for sales/customer; Scheduling - to determine if order dates can be met; Production -handling decoration issues related to the artwork; Shipping making changes to ship dates, methods and addresses.

* Contact with external suppliers for obtaining replacement product ruined in our decoration process, as well as purchase decoration options.

Qualifications

Education/Experience Equivalent (minimum requirements)

* 2 or more years of related experience

Professional Knowledge/Experience

* Knowledge of KAPS computer system preferred

* Knowledge of Microsoft Outlook, Word and Excel

Other Skills (e.g. specialized training, language proficiency, functional expertise etc.)

* Ability to organize, prioritize and handle multiple tasks/projects simultaneously

* Ability to interact with associates at various levels of the organization

* Good verbal and written communication skills; ability to communicate with co-workers and various business contacts in a courteous and professional manner.

* Ability to work under pressure and meet deadlines

* Ability to gather, review, analyze and process information from multiple sources

* Ability to work with minimal supervision with motivation to initiate and complete work assignments as required
