Job Description Project Assistant, Healthcare: Provide superior internal client support for project teams across the Healthcare Medical Equipment and Transition Planning platform.
GOALS
* Ensure all tasks are performed in a manner consistent with documented processes
* Maintain appropriate level of communication with project leader
* Ensure compliance with all key performance indicators
* Ensure data accuracy
* Adherence to scope, schedule and budget developed by the project leader
RESPONSIBILITIES
* Support all team members across the healthcare platform by performing tasks as needed
* Prepare project management reports and meeting minutes
* Assist in setting up meetings and site visits
* Set daily priorities to meet established project deadlines
* Attend client meetings both on site and virtual as needed
* Attend off-site and remote project meetings as needed
* Generate reports using Microsoft Excel and deliver required reporting as assigned
* Learn to read and navigate facility floor plans
* Learn to review basic medical equipment lists and floor plans for accuracy
* Learn and maintain knowledge and understanding of basic planned equipment and products
* Assist with onsite medical equipment inventories
* Assist with onsite furniture inventories
* Assist with the scheduling of medical equipment deliveries
* Assist with implementation of an equipment procurement schedule
* Assist with onsite implementation of medical equipment installations
* Assist with onsite implementation of clinical department relocations
* Assist with the onsite management of medical equipment vendors
* Assist with onsite move activities & with the management of move vendors
* Assist with check-in of all medical equipment with appropriate entities
* Coordinate product/procurement logistics with transportation vendors
* Assist with management of equipment returns and resolve outstanding issues
* Develop and maintain relationships with consultants, contractors, vendors and key stakeholders
* Perform other project specific tasks as delegated
TECHNOLOGY PROFICIENCIES
* Advanced proficiency in Microsoft Outlook, Excel and Word required
SKILLS
* Strong organization and multitasking skills required
* Ability to quickly learn new procedures, build processes and navigate new technology
* Strong written and verbal communication skills required
* Strong time management skills required
* Ability to work independently with minimal supervision
* Ability to deliver information and create reports based on a clients needs
* Ability to read floor plans preferred
* Ability to work on and complete multiple projects
* Must be detail orientated
* Must be able to meet stringent deadlines
EXPERIENCE
* Background in healthcare is desirable
* Background in project management, construction management, design or project strategy planning is desirable
* Project Management experience preferred
