Job Title: -- Service Coordinator

Job Summary: -- Maintain clear and ongoing communication with Customers, Technicians, and other Employees related to all manners of the service operation, including, but not limited to, incoming service calls, scheduling technicians, purchase orders, quotes, follow-up work, and service history.

Essential Duties and Responsibilities:

1. Enter service calls and record all pertinent information relating to requests for service, including Customer and Site, Caller Name, Caller Phone Number, Problem Code, Description of Problem, and Maintenance Contract Number if applicable.
2. Review Previous Slips to ensure a duplicate call is not being entered and gain an awareness of other activity at the jobsite. Determine the priority level for the service request and confirm any special notes from the site file (site access information, special tools, safety concerns, etc.).
3. Maintain daily and weekly schedules in CMS for technicians, keeping the dispatch board current, at all times.
4. Dispatch technicians in a timely manner to minimize technician downtime.
5. Ensure calls are scheduled and dispatched in accordance with company expectations for service call response time, maintenance contract obligations, and project work deadlines.
6. Monitor all preventive maintenance agreements inspections to ensure inspections are being performed as per the maintenance agreement and in accordance with the allotted hours.
7. Verify technician's time and cost code at the completion of each job.
8. Assist service technicians with repair quotes (i.e. parts availability, quotes to Customer, etc.).
9. Monitoring and control of two-man jobs, to insure additional manpower is used when warranted.
10. Perform emergency dispatch duties nights and week-ends on rotating bases.

Qualifications: --

1. Three to five years' experience dispatching within an industrial business environment.
2. Strong computer proficiencies: Micro Office Suite (Word, Excel, PowerPoint, Teams).
3. Three to Five years' experience utilizing a CMS operating system, Coins preferred.
4. Proven Customer Service Skills.
5. Excels at working with in a fast pace team environment.
