Job Description

The Administrative Assistant Ill is expected to work autonomously with minimal oversight. As a control officer, the AA will combine program management skills (e.g., risk management, time and task management, critical thinking and problem solving) and security administrative skills (review of sensitive personnel information, assessing what steps are required, and determining when to highlight concerns to staff management) in their work. The AA is not making decisions on who is granted access, but is working independently to complete forms/systems/paperwork to enable access to be granted. The daily work is consistent, but individuals must be flexible and assess taskings, especially if the task is out of the norm. Candidates must have clean records to be read into the various controlled access programs, and maintain discretion and a high level of integrity. There is a high level of interaction with both new staff and senior executives, both in-person, through email, by telephone and by instant message thus the ability to write and edit Microsoft products is a must. Candidate will assist with secure server room maintenance, personnel security and administration, physical security requirements for office management, and other duties as assigned. Candidate must be skilled in written and verbal communication with team members and senior executives and be able to correspond with requesters via email without review. Candidate should be able to brief to a range of audiences (staff , contractors, personnel on detail) about compartmented information programs as trained. The AA may be asked to brief at least monthly. The core office hours are 0700-1500, though flexibility with times and schedules is available. There is typically no overtime unless there are extreme extenuating circumstances. Light lifting of equipment and boxes on occasion, but not a daily requirement. No non-local travel requirements. A courier card is maintained for local travel, but not required. A security file review will be required of any applicant to confirm they can be read into additional accesses and submitted as control officers to partner organizations.
