Job Summary
Provides support and services to all internal clients by providing oversight, coordinating, implementing and maintaining data about pipelines and station facilities. Provides oversight of the record defect remediation efforts alongside other internal groups and support the inventory initiative of paper and digital records in one secure central repository system. Partners with information technology to develop a pipeline facility paperless records workflow system and upgrade the existing central repository system. This is an individual contributor role.
Key Accountabilities
Develops processes and builds strategies around creating and maintaining gas pipeline facility data for transmission and distribution assets to support the maximum allowable operating pressure (MAOP) of Companys system by utilizing pipeline and station feature lists and data in the transmission and distribution geographic information system (GIS) models.
Ensures data captured for transmission and distribution facilities is accurate and complete prior to recording the data in the feature lists.
Develops processes and strategies around the record keeping associate with the remediation of records defects for transmission and distribution pipelines.
Partners with internal engineering groups to provide records oversight on the remediation construction activities to ensure all records are captured and record defect gaps are closed.
Partners with internal engineering groups to develop a process to locate, review, ensure quality assurance and scan all unprotected records for transmission assets to one central database.
Schedules and manages work activities and projects to ensure on time and in budget implementation of best in class solutions for corporate record management meeting corporate goals. Team participation for large scale corporate electronic solutions.
Develops reports to measure the performance of adherence to standards
Acts as a liaison with field operations and engineering departments to determine current automated and manual records retention processes, define needs, coordinate system and data integration and define required output and user documentation.
Monitors record repositories to ensure existing business records are stored in a controlled environment with secure access.
Ensures that fixed asset processes and contractors comply with records and content management requirements.
Assists with search and retrieval of documents (all media & formats) in records repository systems, shared drives or paper file locations.
Performs research and recommends improvements or updates to records management standards, processes, procedures, policies, systems, and performance measures.
Minimum Education & Experience Requirements
Associate degree in library science, information management, business, construction management or engineering.
2 years of work experience in records information management
Other Qualifications
Preferred:
Bachelors degree in library science, information management, business, engineering or construction management
Experience in SAP/Maximo/Documentum software
Natural gas experience with a focus on records management practices and complex filing systems (hard copy and electronic)
Experience handling confidential, privileged and proprietary records
Experience with construction and engineering related documentation and database maintenance and creation
Certified Records Management designation
Member of American Records Management Association (ARMA) or Association for Information and Image Management (AIIM)
Other Requirements:
High level of PC proficiency including working knowledge of all Microsoft products such Excel, SharePoint and record database experience
Experience in implementing or supporting projects
Willingness to acquire certification in the information governance or related field
Analytical and problem-solving skills and ability to recommend and implement solutions
Proficient verbal, nonverbal, written and presentation skills
Experience in continuous improvement concepts and tools to identify and implement improvement ideas
Effective communication skills and the ability to build relationship and foster a positive environment and elicit support for acceptance of new technology
